Informal systems break as you grow
With twenty families, one volunteer can keep it all in their head. With a hundred, payments get missed, reminders go to the wrong parent, and nobody can say for certain who has paid for the term.
Invoices and receipts settle arguments
A parent with an invoice knows what they owe and when. A parent with a receipt can prove they paid. Most fee disputes come from not having one or the other.
Let parents pay online
Card payment removes the cash handling problem entirely. The money goes straight to the school’s account, there is a record of every payment, and nobody has to count envelopes after Saturday class.
Reports for the committee
Trustees and committees need to see where the money stands. A fee report they can print for a meeting, or hand to an auditor, saves the treasurer a weekend of reconciling.
